UpKeep Nova allows you to automate recurring operational workflows by scheduling custom prompts. Instead of running prompts manually, you can set them to execute automatically on a daily, weekly, or monthly cadence, delivering reports, work plans, and insights directly to your team.

Nova Scheduled Tasks are designed to put your routine data analysis, reporting, and operational updates on autopilot. By linking Nova’s prompting engine to a flexible scheduler, your team can automate actions—such as generating summary sheets, auditing checklists, or dispatching daily schedules—without manual intervention.

Please note: Scheduled Tasks will fully replace the legacy Pulse feature. Pulse will be removed at the end of June 2026, so we recommend migrating any active Pulses to Scheduled Tasks as soon as possible.

Step-by-Step Guide

Follow these steps to set up and configure your first scheduled task in Nova:

  1. Navigate to the Intelligence tab from the left hand menu.

  2. Click on the Scheduled tab and select Create New Task.

  3. Enter a clear, descriptive name for your task (e.g., "Weekly Out of Stock Parts Audit").

  4. Draft your prompt instructions in the text area. Be specific about what data Nova should analyze and what output it should produce.

  5. Select your desired schedule cadence: Daily, Weekly, or Monthly.

  6. Specify the delivery method, such as sending a PDF to your email inbox or posting a summary sheet to an admin folder.

  7. Click Save Task. Your scheduled task is now active and will run automatically based on your configuration.


Best Practices

  • Write clear prompts: Provide explicit details about formatting and data fields. For example, instead of saying "email me late work orders," write "find all work orders completed past their due date in the last 7 days and email them to me as a bulleted list with assignee names."

  • Audit run history regularly: Use the run history panel to inspect Nova's responses and ensure the prompt instructions are delivering the expected value.

  • Test prompts first: Run your prompt manually in the standard Nova chat interface to verify that Nova understands the instructions and returns the correct data before scheduling it.

  • Migrate Pulses early: Check your active Pulses and re-create them as Scheduled Tasks before the end of June to avoid any disruption to your automated workflows.

What is happening to the legacy Pulse feature?
Scheduled Tasks will completely replace Pulses. The Pulse feature is being decommissioned and will be removed at the end of June. Be sure to migrate your Pulses to Scheduled Tasks as soon as possible.

Can I edit a prompt after scheduling it?
Yes. You can edit any active Scheduled Task to update its schedule, modify the prompt text, or change delivery settings at any time.

How do I check if a scheduled task ran successfully?
You can click on any scheduled task within your dashboard to view its full run history, including execution times, statuses, and outputs.

Do scheduled tasks consume my monthly Nova credits?
Yes. Every automated run of a scheduled task processes data and consumes credits. You can track this consumption in your monthly credit usage report.
