UpKeep Nova is a new way to interact with your CMMS using natural language. With Intelligence, you can ask the system to analyze your data, make recommendations, and even perform real updates in your account — all through simple prompts.
Accessing Intelligence
Look for Nova in the left-hand navigation menu of UpKeep
Clicking this will open a new tab at intelligence.onupkeep.com
You can also type the URL directly into your browser when logged into your account
Modes of Use
Intelligence includes three modes so you can learn, test, and run tasks with the right level of control:
Playground Mode — Try It Safely
What it does: Simulates actions in a sandbox with test data
Why use it: Great for learning how to prompt the agent without making real changes
Example: Ask it to create a facility, assets, and work orders. It will show you examples, but nothing is saved
Ask Mode — Confirm Before Changes
What it does: Prepares a plan and asks you to confirm each step before changes are applied
Why use it: Perfect for running real actions while keeping full control
Example: If you ask to create a new location with assets, you’ll confirm the location first, then the assets, then the work orders
Agent Mode — Full Autonomy
What it does: Executes your requests immediately without step-by-step confirmations
Why use it: Best for confident users who want speed and automation.
Example: “Triage my pending requests” will immediately update statuses, priorities, and reasons in your account
What You Can Do
Here are some powerful ways to use Intelligence:
Triage Requests → “Triage my pending requests.”
Updates priorities, flags duplicates, and approves/declines requests with reasonsAnalyze Work Orders → “Analyze my work orders and highlight the assets with the most activity.”
Create Preventive Maintenance → “Create PMs for the top three assets with the most work orders.”
Generate Test Data → In Playground Mode, simulate facilities, assets, and work orders to see how the agent thinks
Upload Files → Attach a PDF, CSV, or Image directly in chat.
PDFs → Extract information from manuals and create assets, parts, or PM schedules.
CSVs → Map column headers into UpKeep fields for bulk imports.
Images → Store photos with work orders, assets, or requests.
Tip: Use the paperclip icon in the chat bar to upload files
Reviewing Results
All real actions appear in your UpKeep CMMS:
Requests → Decline reasons and updated priorities are saved automatically
Work Orders → Check for changes in priority, dates, and assignments
Assets & Locations → Confirm new records and relationships
Use list filters (e.g., “last updated”) to quickly find what the agent created or modified.
Best Practices
Start in Playground Mode if you’re new it’s a safe place to practice
Use Ask Mode when you’re ready for real actions but still want control
Switch to Agent Mode once you’re confident and want faster execution
Always review the agent’s plan (shown in the sidebar) before confirming in Ask Mode
For uploads, start with smaller files (or samples in Playground) to preview results
