Nova includes a Knowledge Base that automatically learns from your team's conversations and instructions over time.

When your team gives Nova guidance—such as naming conventions, workflow rules, or operational preferences—Nova stores that information in the Knowledge Base and applies it automatically in future tasks.

This allows Nova to continuously improve and align with how your organization operates.


How Nova Learns

Nova builds its Knowledge Base directly from interactions with your team.

As your team works with Nova, it can capture important information such as:

  • Work order naming conventions

  • Asset or location formatting standards

  • Approval workflows

  • Assignment rules

  • Team responsibilities

  • Operational preferences

When Nova identifies guidance that should be remembered, it saves it as a knowledge file so it can be reused automatically.

For example, if your team tells Nova:

“All work orders should follow the format: [Asset] – [Issue] – [Location]

Nova can remember this rule and apply it when generating or updating work orders in the future.


Where to Find the Knowledge Base

You can review what Nova has learned at any time.

  1. Open Intelligence in UpKeep.

  2. Select the Knowledge Base tab.

Here you can browse all knowledge files that Nova has stored from conversations and interactions.


Reviewing Knowledge Files

Each knowledge file contains guidance Nova has learned from your team.

Files typically include:

  • A title describing the rule or preference

  • The stored instruction or guideline

  • Tags that categorize the knowledge

  • Version history showing updates

This allows your team to see exactly what Nova has learned and how it will apply that knowledge.


Editing or Updating Knowledge

You can edit knowledge files if processes or standards change within your Nova Conversations.

Updates allow you to:

  • Refine instructions

  • Adjust workflows

  • Clarify naming conventions

  • Improve operational guidance

Nova will use the updated version moving forward.


Example Knowledge Nova Might Store

Work Order Naming Standard

Rule stored in the Knowledge Base:

Work orders should follow the format:
[Asset] – [Issue] – [Location]

Example:
HVAC Unit – Filter Replacement – Building A

Nova can automatically apply this format when creating or updating work orders.


Assignment Rules

Example knowledge:

Electrical issues should be assigned to the Electrical Team.
Plumbing issues should be assigned to the Facilities Team.

Nova can use this context when triaging requests or suggesting assignments.

To help Nova learn effectively:

  • Provide clear instructions when working with Nova

  • Review the Knowledge Base periodically

  • Update guidance when processes change

  • Keep instructions concise and specific

Over time, Nova builds a deeper understanding of your workflows and helps maintain consistent data across your UpKeep account.
