Nova Autonomous Actions

Use the Intelligence tab to have Nova do Autonomous Actions

Nova can now work for you in the background—no prompting required. With Autonomous Actions, Nova runs scheduled jobs in your UpKeep account, reviews data, and delivers insights and recommended actions directly to your Intelligence inbox.

This article explains what Autonomous Actions are, how they work, and how to create and manage them.


What Are Autonomous Actions?

Autonomous Actions are Nova prompts that run on a schedule. Instead of manually asking Nova for help, you set up actions once, and Nova continuously reviews your account and reports back.

Each Autonomous Action can:

  • Analyze data (work orders, parts, labor, reliability, etc.)

  • Summarize findings in plain language

  • Recommend or prepare actions

  • Let you approve or dismiss those actions with one click

All results appear in your Intelligence inbox.


The Intelligence Inbox

The Intelligence inbox is where Nova delivers insights and actions it has completed while you were away.

From each message, you can:

  • Read a clear summary of what Nova found

  • Review why changes were recommended

  • Approve suggested actions

  • Dismiss messages you no longer need

You never have to type a prompt—just review and decide.


Example Autonomous Actions

Here are a few examples of what Autonomous Actions can do:

Reprioritize Overdue Work Orders

  • Nova reviews overdue work orders

  • Updates priorities based on predefined rules

  • Explains why each priority changed (e.g., low → high, medium → high)

Review Parts for Clarity

  • Identifies newly created parts with unclear names

  • Suggests improvements (e.g., adding size or detail)

  • Lets you approve updates to names and descriptions

Review On-Hold Work Orders

  • Finds work orders currently on hold

  • Summarizes why they are blocked

  • Suggests next steps to move them forward

Reliability & Planning Insights

  • Weekly reliability analysis

  • Weekly planning summaries

  • Ongoing monitoring of work order health


How Scheduling Works

Each Autonomous Action runs on its own schedule. For example:

  • Every day at 8:00 AM: Review on-hold work orders

  • Every day at 9:00 AM: Review parts

  • Every 30 minutes: Reprioritize work orders

  • Every Thursday at 8:00 AM: Plan the upcoming week

  • Every Friday at 4:00 PM: Reliability analysis

Schedules are fully customizable.


Creating an Autonomous Action from a Template

  1. Open your Autonomous inbox

  2. Click Autonomous Actions Tab

  3. Choose Start from templates or From Scratch

  4. Review and edit the prompt if needed

  5. Adjust the schedule (days and time)

  6. Click Save

The action will begin running automatically on the schedule you set.


Creating a Custom Autonomous Action

You can also build an action from scratch—just describe what you want Nova to do.

Example

“Every morning at 8:30, I want a report showing how much labor was recorded yesterday, broken down by technician. I want it delivered as a PDF showing technician name, hours recorded, and number of work orders.”

Nova will:

  • Generate a detailed prompt for you

  • Suggest a title

  • Automatically set the schedule

You can edit or regenerate the prompt before saving.

Once saved, Nova will deliver the report automatically—no manual prompting required.


Taking Action from the Inbox

From any Intelligence message, you can:

  • Approve actions (updates, changes, cleanups)

  • Open Nova to continue the conversation

  • Dismiss messages when no action is needed

All actions happen directly from the inbox view.
