UpKeep offers a flexible pricing structure based on user licenses. Our pricing is per licensed user, billed monthly or annually.
Lite Plan: $20/user/month
Starter Plan: $45/user/month
Professional Plan: $75/user/month
Business Plus Plan: $120/user/month
Example of Cost Calculation:
For 4 licenses on the Business Plus Plan: 4 users * $120 per month * 12 months = $5,760 per year

Paid User Roles
Administrators
Admins have full control over your UpKeep account, giving them the ability to add, modify, or remove anything within the system. Plus, you can designate multiple admins! πβ¨
Limited Administrator
Limited Admins can create and delete specific objects within UpKeep and receive the same notifications as Admins, including those related to costs and hourly rates in work orders. Theyβre key contributors with a few restrictions! π οΈπ€π These restrictions include no access to the Settings tab and the inability to create or edit Checklists.
Technicians
Technicians are the real superheroes in UpKeep! π¦ΈββοΈπ§ They excel at closing work orders, completing jobs, and are often the fearless field technicians. They enjoy full visibility of all team-related objects like work orders and assets. Technicians hold the power to edit work orders, locations, and assets they've created, but they cannot edit or delete items they haven't created. Their skills shine as they work on tasks within work orders, effortlessly updating with photos and status updates. πΈπͺ So, trust your Technicians to keep things running smoothly with their exceptional capabilities! ππ

Limited Technicians
Limited Technicians have similar privileges to regular Technicians, with a few key differences. They can only view work orders, locations, or assets assigned directly to them or their team. To grant access to specific locations or assets, Admins must assign them. Limited Technicians can assign work orders to themselves or their team, but any additional tasks require Admin assignment. Itβs all about ensuring they have the tools they need to succeed! πͺπ§π
Custom Roles - Business Plus Only
Custom Roles have the same capabilities as Administrators, but you can adjust specific permissions to fit your needs. If you need a role that differs from the default Admin and Technician setups, set up a custom role!
Free User Roles
These user types don't need a license, and you can have as many of them in your account as you need. ππ
Requester Users
Requesters act as the voice of your facility's needs. They submit requests and receive updates on their submissions but donβt have access to internal details like Work Orders or other users' requests. Updates are sent via email and push notifications, and they can track the status of their requests by logging into UpKeep.

View-Only Users (a.k.a View & Request)
View-Only users act as observers in the account, with visibility into nearly everything an Admin can seeβexcept for work requests and purchase orders. While they canβt make changes, they can submit work or purchase order requests when needed and track job statuses. Additionally, they can add comments to their own requests and the related Work Orders. View-Only users can also view and download reports in Analytics, but they cannot edit the Analytics Dashboard. Theyβre ideal for monitoring and accessing data without making any changes! π΅οΈββοΈππ
Vendors & Customers
Vendors and Customers are meant for internal organization and tracking only. They cannot log in to the account, nor do they receive any notifications. π«π₯
These roles act as helpful references to keep things organized behind the scenes. For example, you can create a Vendor to manage contractors you regularly work with and assign them to specific work orders. This makes it easy to track who is handling each task and stay informed about the status of every work order.
When vendors or customers are assigned to a Work Order in UpKeep, they do not receive notifications or emails from UpKeep. As third-party users, they are not considered validated users within the UpKeep application and cannot take action on Work Orders. Any updates or actions needed must be managed by a team member with access to modify Work Orders.

Can Location Based Permission can be applied to any user type?
Yes, any user can have location based permission applied.
Can a users' role be changed at any time?
User roles can be edited or changed at any time. Keep in mind that in order to give someone a licensed user type, there must be one available for use. You can purchase more licenses if needed.
