To stay on top of your Preventive Maintenance (PM) schedule, it’s important to know when your next work order will be created and when it’s due. In UpKeep, you can easily view this info right from the Preventive Maintenance list view.
This guide shows you how to check trigger timing for any PM schedule.
Steps to View Your Next PM Trigger
Go to the Preventive Maintenance section from the left-hand menu
In the list view, find the Assets & Locations column
Click the arrow icon next to the schedule for the PM you want to check
This will expand the schedule view and show key timing details for that specific PM.
What Each Date Means
Once you expand the schedule info, you’ll see three key timestamps:
Last Work Order – The due date of the most recent work order that was generated from this PM
Next Work Order – The due date for the next scheduled work order (based on your PM schedule)
Next Trigger Date – The date the next work order will actually appear in your Work Orders list
These dates help you plan ahead and confirm that your PMs are triggering on time based on either calendar or meter rules.
Pro Tips
If there’s no Last Work Order listed, the PM may be meter-based and hasn’t hit its trigger threshold yet.
If there’s no Next Work Order or Next Trigger Date, the PM may be set to trigger based on completion, and the previous WO hasn’t been completed yet.
Check for end dates on your PMs — if an end date has passed, no new work orders will be created.
You can always pause or unpause a PM from the Actions menu to temporarily stop or resume scheduling.
These checks can help troubleshoot if you’re expecting a work order and it hasn’t appeared.
