Overview

Upkeep has revamped and redesigned custom properties/fields within the assets template. Previously, our legacy custom properties were not filterable, sortable, reportable, or exportable. With our new custom fields, you will be able to do all this!

Quick Notes

  • The old custom properties on assets themselves at this time will be read-only on both Mobile and Web UI. This will only be for a limited time, in 2022 we will be removing the old custom properties altogether.

  • If you use the API to create your custom properties/fields, this will still be allowed for a limited time. Again in 2022, we will be stopping this ability and eventually deleting the old custom properties altogether.

  • At this time only Admin users on the Starter, Professional, and Business Plus plans can create, edit, and delete custom fields.

  • Business Plus users will be able to build custom reports using custom fields on the Analytics page. More on that here. (add link to doc for analytics dashboard/we can also add a button here for more visibility).


Creating an Asset Custom Field

When creating a custom field, this field applies to all assets in your account. If you have data currently in the old custom properties fields you can do data migration and create a new field for this data! More on that here.

Steps to create new custom fields

Step 1: Navigate to Settings in the lower left-hand corner of your account

Step 2: Click the “fields” tab at the top of this page

Step 3: Select “assets” note this is the only option at this time

Step 4: You will see a list of fields. Click the “create” button

Step 5: From here you will be able to choose what field type you want and give it a title!

Step 6: When done hit save

Step 7: You should now see this field in the list.

It will also now show on the Assets pages list as a column for viewing, and you will be able to view the field on the assets themselves.

You can also filter the assets list by custom fields! NOTE: there is a limit to 3 fields max when searching.


How to edit an asset custom field

Editing custom fields will apply the changes across all assets.

Steps to edit custom fields:

Step 1: Click Settings in the bottom left corner of your account

Step 2: Click the “Fields” tab at top of the page

Step 3: Click “Assets”

Step 4: Select the existing field from the list

Step 5: Make edits and when done click save

Remember: Editing custom fields will apply the changes across all assets.

Changes can now be seen on the filters, columns and assets themselves under the asset page.


How To Delete An Asset Custom Field

Quick Notes

  • New custom fields can be deleted but when deleted, they remove all previous information and are removed from all assets.

    • Example: if a user removes the field “dog” and the field “dog” was previously stored on an asset and contained information, upon removal, all existing dog fields would be deleted and all data stored in it.

  • Deleted custom fields cannot be reported on at this time.

Steps to delete an asset custom field:

Step 1: Click Settings in the bottom left corner of your account

Step 2: Click the “Fields” tab at top of the page

Step 3: Click "Assets”

Step 4: Find the field you want to remove, move your cursor to the end and click the delete option.

Note: Deleting a field cannot be undone. Once the field is deleted, you should no longer see it on any asset, it will no longer be a column option and will no longer be able to be filtered by.
