How to Create and Manage Courses in UpKeep Learn

Create, manage, and track custom training courses in UpKeep Learn with manual or AI authoring.

The Course Creation platform in UpKeep Learn enables administrators to build fully custom, interactive training courses directly within the platform. With guided creation wizards, flexible manual and AI-driven authoring paths, and robust learner compliance controls, you can transform existing SOPs, safety policies, and manuals into professional training modules in under ten minutes.

Key Capabilities

  • Flexible Authoring Paths — Choose between a guided AI generation wizard or a streamlined manual creation flow to build courses from scratch.

  • Smarter Video Lessons — Enforce compliance by disabling seeking ahead and requiring learners to complete lessons.

  • Lesson-Level Delivery Modes — Switch presentation lessons between interactive slide video and a readable text-only view.

  • Centralized Admin Tracking — Track assignments, course progress, and earned certificates directly on learner profiles.

  • Polished Player & Quizzes — Deliver smooth lesson progression, robust quiz knowledge checks, and easy certificate sharing.

Step-by-Step Guide

  1. Configure Company Context: Before creating courses, ensure your Locations, Users, and Learning Model (skills/job titles) are set up. The course generation engine uses this data to customize and elevate AI-generated outputs.

  2. Navigate to the UpKeep Learn dashboard, click Create Course, and choose your creation path:
Build with AI: Ingest a document or enter a prompt to auto-generate structured modules.
Build manually: Skip AI generation and go straight to lesson editing.

  3. Complete the course setup by defining the title, description, thumbnail, category, and tags. For manually created courses, only the title is required (description is optional).

  4. Decide the target job titles, skills, and quiz placement. On the AI path, click Upload Document to drag in an existing PDF, SOP, or text file to seed lesson content.

  5. Use the Editor to organize chapters and refine lessons.
Autosave: Lessons automatically autosave with an on-screen Saving/Saved indicator. Structural edits (add/reorder/delete) save immediately.
Manual Media Upload: Upload images, videos, or documents directly into manual lessons, or replace existing media files easily.
Delivery Mode: Switch presentation lessons between Text (readable) and Video (slide/narrated) without losing work.
Skip Enforcement: In video lessons, toggle Allow seeking ahead off to force learners to meet the minimum required time. Playback tracking auto-pauses when learners switch browser tabs.

  6. Open Presentation Mode to preview the auto-narrated, slide-by-slide view, or check the player experience. You can edit scripts or request batch "apply all" AI upgrades.

  7. Click Add Quiz, write questions, and specify answers. To prevent data issues, switching quiz chapters alerts you if there are unsaved edits.

  8. Configure pass thresholds, course reminders, and certificates in the consolidated Course Settings card. Click Publish to make the course active.
Publishing Checks: Publishing is blocked if the Overview, Quiz, or Settings cards have unsaved changes (utilizing Save/Discard form headers), or if lesson autosaves are still pending.

  9. Go to the Assignments tab to distribute courses. Track training progress and earned certificates on individual user profiles.

Best Practices

  • Set up your company's Learning Model profile first.

  • Review the voiceover scripts in Presentation Mode to ensure standard industry terminology is used and adjust pronunciation rules if needed.

  • Design courses in bite-sized chunks (e.g., 5 to 15 minutes) to maintain high engagement and focus on your frontline teams.

  • Turn seek-ahead options off only for required regulatory or compliance courses to maximize learner flexibility elsewhere.

FAQ

What does the Learner Experience look like?
Learners see a clean dashboard showing assigned courses, their current progress, and what to take next. They can pause courses and resume exactly where they left off. Playback timer pauses if they switch tabs.

Can learners share their completed certificates?
Yes. Earning a certificate allows learners to print, view, or copy a direct share link from a clean completion dialog. Learners can also access all accomplishments in the "My Certificates" tab.

How do managers and admins track learner training?
Managers and admins can view real-time course progress (In Progress / Completed) and certificates directly on any learner's profile page.

Does UpKeep Learn issue certificates automatically?
Yes. If enabled in course settings, a custom PDF certificate is generated and issued directly to the learner's profile immediately upon passing.

Do I need an instructional designer to use this?
No. The guided wizard, manual editor, and AI document ingestion are designed so subject matter experts can build robust courses without training experience.
