Learn how admins can view Paid vs. Free seat usage and submit a self-serve seat expansion request directly from UpKeep Safety.

Overview

UpKeep Safety gives admins direct, real-time visibility into how your subscription seats are consumed—and a simplified self-serve way to request seat expansion. This article covers how to audit seat usage, navigate visual capacity settings, and handle seats enforcement.

With our latest release, paid capacity enforcement is strictly active, meaning role assignments that exceed your purchased seats will be blocked automatically by UpKeep Safety until a seat expansion is requested.


Key Capabilities

  • Visual Capacity Settings — Subscription details are aggregated in one place, featuring a visual seat progress bar, detailed role-by-role seat breakdown, and a clean interface to request seats.

  • Strict Seats Enforcement — If an administrator attempts to assign a role that would exceed your paid seat limits, EHS blocks the assignment to prevent subscription compliance drift.

  • Paid vs. Free Role Indicators — Clearly identify which roles consume a Paid seat and which roles are Free directly within your Roles list and Users table.

  • Self-Serve Seat Expansion Requests — Initiate expansion requests directly in-app, routing them straight to your Sales contact while keeping your team unblocked.


Auditing Seat Usage

Admins can see exactly how each role consumes your UpKeep Safety subscription directly in the Roles list and Users table.

Paid Seat Capacity Enforcement

Paid capacity is strictly enforced. If assigning a role to a user would push your workspace beyond its purchased seat limit:

  1. The system will display an error message explaining that capacity has been reached.

  2. The role change will be blocked until seats are expanded or an existing user role is downgraded.

  3. To check your current usage details, click the provided shortcut link to open Subscription.


Requesting a Seat Expansion

Need more capacity? You can submit a seat expansion request directly from UpKeep Safety — no need to search for your Sales contact's email.

How to Request Additional Seats

  1. Open UpKeep Safety and navigate to Subscription in the left-hand navigation pane.

  2. Review your visual seat progress bar and role-by-role breakdown showing Paid vs. Free usage.

  3. Click Request Seat Expansion.

  4. Specify the number of additional seats needed and submit.

  5. Your Sales contact will automatically be notified to process the contract change.


FAQ

Where do I find Subscription Settings?
Navigate to Subscription in the left-hand navigation pane.

Will Sales still need to approve seat expansions?
Yes — the request routes directly to your Sales representative to finalize the commercial contract update. However, the in-app flow allows you to trigger the request instantly.

Who can view and manage subscription settings?
Only users with Global Administrator access in UpKeep Safety can view capacity, check seat availability, and submit expansion requests.
