Exporting Data in UpKeep Safety

Learn how to export your data in UpKeep Safety.

Exporting data from UpKeep Safety allows you to create offline reports, meet compliance requirements, and analyze safety trends. You can export Safety Events, CAPAs, OSHA logs, Agency Reports, and Access Point usage data into CSV files for further review in Excel, Google Sheets, or other tools.

Under our latest update, permissions for exporting Safety Events have been overhauled: exporting Safety Events is now completely **free for all users**, removing the previous subscription gates and allowing every team member to extract compliance data.

Overview

Data export capabilities enable safety managers and team members to gather evidence for audits, perform detailed safety studies, and back up records. Making Safety Event exports accessible to all users ensures maximum transparency and speed in reporting.

Key Capabilities

  • Free Safety Event Exports — Exporting Safety Events is now open and **completely free** for all users, regardless of their role or subscription level.

  • Multi-Module Exporting — Download CSV files for Safety Events, CAPAs, OSHA logs, Agency Reports, and Access Point usage.

  • CSV Compatibility — Exports are structured for direct compatibility with Microsoft Excel, Google Sheets, or third-party business intelligence tools.

  • Integrated Filters — Apply filters directly on list views before exporting to customize and target your downloaded dataset.

Step-by-Step: Exporting Safety Events

  1. Go to Safety > Safety Events.

  2. Apply any filters (e.g., Status, Type, Severity, Location, or OSHA Reportable) to narrow down the records.

  3. Click the Export icon in the top-right corner of the page.

  4. A CSV file will download automatically containing all filtered columns, including linked assets, locations, and associated CAPAs. Note: This action is free for all active users.

Step-by-Step: Exporting CAPAs

  1. Navigate to Safety > CAPAs.

  2. Apply filters for due date, status, or assigned user.

  3. Click the Export icon in the top-right corner.

  4. The CSV file downloads with CAPA details, linked Safety Event IDs, due dates, priority levels, and verification status.

Step-by-Step: Exporting OSHA Logs

  1. Go to OSHA > OSHA Logs.

  2. Select the form you need to export (OSHA 300, 300A, or 301).

  3. Apply any necessary date range or location filters.

  4. Click Export to download the CSV file required for ITA submission or facility postings.

Best Practices

  • Filter Before Export — A maximum of 500 records can be exported at one time. Always apply filters first to keep exports focused and avoid hitting the 500-record threshold unintentionally.

  • Organize Exported Backups — Store downloaded CSVs in a secure, central folder to ensure audit readiness.

  • Generate Binders for OSHA Audits — Combine CSV data exports with official OSHA logs and agency reports for a comprehensive safety audit packet.

FAQ

What is the maximum number of records I can export at once?
You can export up to 500 records per CSV download. If you have more than 500 records, apply date or location filters and perform separate exports.

Can I export data in formats other than CSV?
Data is exported primarily in standard CSV format, which can be easily saved as XLSX or PDF using applications like Microsoft Excel or Google Sheets.

Why is my export missing certain columns?
Exports include the columns currently visible on your list view. Use the table settings to show or hide columns before clicking the Export icon.
