Managing Safety Data Sheets (SDS) in UpKeep Safety

Learn how to Manage/Upload Safety Data Sheets (SDS) in UpKeep Safety

The SDS Library in UpKeep Safety allows you to upload, manage, search, and distribute Safety Data Sheets (SDS) while staying compliant with OSHA Right-to-Know requirements.

With our newly upgraded SDS Approval Engine, your organization can enforce formal governance over compliance documents, capture key review dates, and log internal notes during the upload workflow.

Overview

The SDS Library acts as a centralized repository for your facility's chemical safety information. By utilizing AI-powered data extraction and an integrated approval sign-off process, the library ensures that all safety documents are accurate, up-to-date, and fully compliant with regulatory standards.

Key Capabilities

  • AI-Powered Extraction — Automatically extracts all 16 GHS sections, product names, hazard classifications, and manufacturer details from uploaded PDF files.

  • SDS Approval Engine — Capture Next Review Dates, log internal notes, and perform a formal approval sign-off during document intake.

  • Compliance Binders — Generate location-specific binders containing chemical details and raw manufacturer PDFs for regulatory inspections.

  • Label Generation — Create OSHA-compliant secondary container labels directly from the library.

  • AI Chemical Assistant — Ask specific, conversational questions about chemical handling, PPE requirements, and first-aid measures.

Step-by-Step: Uploading and Approving an SDS

  1. From the left navigation panel, click SDS Library.

  2. Click + Upload SDS in the top right corner.

  3. Select and upload a Safety Data Sheet PDF file. The AI engine will scan and extract chemical information automatically.

  4. In the document detail form, capture the Next Review Date and add any internal notes.

  5. Complete the formal sign-off by clicking the Approve & Save button to add the document to your active library as an approved sheet.

Step-by-Step: Building an SDS Binder

  1. Navigate to the SDS Library.

  2. Click the Binder (book) icon in the top right corner of the screen.

  3. Select your facility's location from the dropdown in the Build SDS Binder window.

  4. (Optional) Check the box for Include original PDF documents to bundle raw manufacturer files.

  5. Click Build Binder to generate the compliance package.

Best Practices

  • Schedule Proactive Reviews — Always set a Next Review Date during upload to ensure your compliance documents never go stale.

  • Enforce the Approval Engine — Use formal approval sign-off for every new chemical introduced to standardise internal governance.

  • Utilize Binders for Audits — Generate and save location-specific SDS binders beforehand to ensure audit readiness.

  • Generate Secondary Labels — Print and attach secondary container labels immediately after chemical transfer to stay OSHA-compliant.

Use Cases

  • Chemical Intake Control — A manufacturing facility uses the SDS Approval Engine to verify that new cleaning solvents have been formally approved by the Safety Director before they are distributed on-site.

  • Regulatory Audit Preparation — An environmental safety officer builds location-specific SDS Binders with AI extraction sheets and original PDFs to quickly present during an unannounced OSHA inspection.
