Overview
The Compliance Calendar in UpKeep Safety gives you one place to track every regulatory, safety, and permit obligation your organization is responsible for. Stay ahead of deadlines, automate recurring schedules, and tie each obligation directly to the safety and maintenance work it drives.
Key Capabilities
Multiple views — switch between Month, Week, and List views to plan at any horizon
Cross-module linking — attach Safety Events, CAPAs, Audits, JHAs, SOPs, LOTOs, SDS, and CMMS Work Orders to each task
CSV and PDF export — pull your compliance schedule for audits, reviews, or reporting
Full notification flow — assignment, reminder, overdue, and completion notifications keep owners accountable
Step-by-Step: Add Your First Task
Open UpKeep Safety and navigate to the Compliance Calendar under Safety Management.
Choose your preferred view — Month, Week, or List.
Click + Create Task.
Enter the task title, description, type, and due date. Note: date pickers prevent selecting a past date for new tasks.
Assign an owner — they'll receive assignment, reminder, and overdue notifications automatically.
Under Linked Records, attach any related Safety Events, CAPAs, Audits, JHAs, SOPs, LOTOs, SDS entries, or CMMS Work Orders.
Click Save. The task appears on the calendar immediately.
Viewing and Editing Tasks
The task viewer and editor are designed to reduce visual noise and make complex tasks easier to navigate.
Viewer — linked items now display as a clean bullet list with section headers, de-duplicated. Attachments appear as a vertical media list with a badge showing remaining items.
Editor — fields are organized into collapsible card sections, so you can focus on the area you're editing without scrolling through the whole form.
Completing a task — use the new Mark Complete / Discard flow. If you have the right permissions, you'll see an option to create a linked work order directly from the completion dialog.
Flexible Task Completion
You can mark compliance tasks complete at any time — no strict deadline window required. This means:
No blocking errors for late completions — you'll see a friendly warning if completing after the scheduled window, not an error
Audit trail is preserved — the original scheduled date is always retained for compliance history
Real-world flexibility — operations don't always follow a strict window, and now the system accommodates that
Best Practices
Link aggressively — tying obligations to Work Orders and CAPAs makes audit prep dramatically faster
Use the List view for reviews — fastest way to scan what's due in the next 30/60/90 days
Assign a single owner per obligation — accountability is clearer than shared ownership
Export a PDF before every audit — auditors appreciate a clean, date-stamped schedule
Use collapsible sections in the editor — collapse sections you're not editing to reduce scrolling on complex tasks
Common Use Cases
OSHA recordkeeping cadence — track annual 300A posting, injury log reviews, and training refreshes in one calendar
Environmental permits — monitor renewal dates for air, water, and waste permits with automatic reminders
Equipment certifications — link crane, forklift, and pressure-vessel inspections directly to the Work Orders that carry them out
Internal audits — schedule recurring internal audits and link them to the CAPAs they generate
FAQ
Where do I find the Compliance Calendar?
It lives inside UpKeep Safety under Safety Management.
Can I import obligations from a spreadsheet?
Not currently. You can export the full calendar to CSV at any time, but bulk import isn't available yet.
What's the new completion flow?
When you're ready to mark a task complete, you'll see Mark Complete and Discard buttons. Users with the right permissions will also see an option to create a linked CMMS work order directly from the dialog.
Why can't I select a past date for a new task?
Date pickers now block past due dates on new tasks to keep your calendar accurate. If you're logging a historical obligation, contact your Safety admin.
What happens when a task is overdue?
The owner receives an overdue notification and the task is highlighted red in all calendar views until it's completed or rescheduled.
Can I link the same task to multiple records?
Yes — each task supports links to any combination of Safety Events, CAPAs, Audits, JHAs, SOPs, LOTOs, SDS entries, and CMMS Work Orders.
Does completing a task late affect my compliance history?
No. Your audit trail always reflects the original scheduled date, so compliance records remain accurate even when a task is completed after its scheduled window.
