The Compliance Calendar in UpKeep Safety gives you one place to track every regulatory, safety, and permit obligation your organization is responsible for. Stay ahead of deadlines, automate recurring schedules, and tie each obligation directly to the safety and maintenance work it drives.
Overview
The Compliance Calendar helps operations teams maintain perfect compliance visibility. By removing technical barriers around scheduling and date calculations, the calendar ensures that tracking local, regional, or global obligations is seamless and accurate down to the single day.
Key Capabilities
Multiple views — Switch between Month, Week, and List views to plan at any horizon.
Same-Day Compliance — Create and complete compliance tasks for the same day with zero friction or artificial timeline restrictions.
Cross-Module Linking — Attach Safety Events, CAPAs, Audits, JHAs, SOPs, LOTOs, SDS, and CMMS Work Orders to each task.
CSV and PDF Export — Easily pull and share your compliance schedule for auditing and reporting purposes.
Full Notification Flow — Automatic alerts for task assignment, reminders, overdue warnings, and completions.
Step-by-Step: Add Your First Task
Open UpKeep Safety and navigate to the Compliance Calendar under Safety Management.
Select your preferred view: Month, Week, or List.
Click + Create Task.
Enter the task title, description, type, and due date. Note: You can select the current date to create and complete a task immediately under Same-Day Compliance.
Assign an owner to trigger automatic assignment, reminder, and overdue alerts.
Under Linked Records, attach any relevant compliance or maintenance records.
Click Save to add the task to the calendar.
Step-by-Step: Flexible Task Completion
Locate the task on your calendar or list view and click to open it.
Click Mark Complete.
Review the original scheduled date and current completion details in the confirmation dialog.
(Optional) If you have the required permissions, toggle the option to create a linked CMMS work order.
Confirm completion. The original schedule is preserved in your audit history, and late warnings are recorded gracefully if completed past the window.
Best Practices
Leverage Same-Day Logging — Do not hesitate to log and resolve ad-hoc compliance tasks on the fly; the Compliance Calendar now supports instant, same-day resolution.
Rely on Local Timezones — Trust the "Due Today" filter, as timezone-perfect date logic automatically presents tasks relative to your physical location.
Link Related Modules — Cross-link tasks to Safety Events, CAPAs, or CMMS Work Orders to build a rock-solid, easily searchable compliance audit trail.
Use collapsible sections in the editor — Collapse sections you're not actively editing to keep the interface clean and reduce scrolling.
Use Cases
Ad-hoc Safety Inspections — A supervisor notices a minor emergency exit obstruction, quickly creates a same-day compliance task, corrects the issue, and marks the task complete immediately to log the event on-the-spot.
Global Fleet Coordination — A safety lead based in London tracks daily compliance tasks for technicians spread across Chicago and Singapore, knowing that localized date rules will show tasks accurately across timezones.
FAQ
Does marking a task complete late affect my compliance audit history?
No. The calendar preserves the original scheduled date, ensuring your audit trail remains accurate even if a task is completed late.
Can I create tasks with a past due date?
Yes, you can back date compliance tasks.
How does timezone-perfect date logic handle overnight shifts?
Date definitions lock to the timezone set in your user profile, so tasks align exactly with your localized shift boundaries.
Is there a limit to how many records I can link to a single task?
No. You can link as many relevant safety events, CAPAs, SOPs, audits, and maintenance work orders as needed.
