The Permit to Work (PTW) module in UpKeep EHS is used to digitally manage the authorization of hazardous or high-risk work. It ensures that all safety checks, approvals, and control measures are in place before work begins. Using the PTW module helps protect workers from hazards, maintain control over potentially dangerous tasks, and support compliance with safety regulations.


Creating a Permit to Work (PTW)

  1. Start with Permit Creation

    • Click +Create PTW

    • You can describe your task using voice or text (e.g., “Generate a permit for welding inside the mixing tank”)

    • The system will auto-generate a draft including the title, description, and relevant placeholders

  2. General Information

    • Select the type of permit required for the work

    • Permit types include:

      • Hot Work (e.g., welding, grinding)

      • Confined Space Entry

      • Working at Height

      • Electrical Work

      • Cold Work or Excavation

      • Radiography

      • Lifting or Heavy Lifting

      • Diving

    • Add the basic details of the work

    • Start Date and End Date

    • Scope of Work and Description

    • Emergency Contact and Phone Number

    • Custom Fields (optional)

  3. Hazard Identification

    • Identify hazards before work begins

    • Hazard Description

    • Severity and Likelihood (before controls)

    • Control Measures

    • Likelihood After Controls

    • Additional Notes (optional)

  4. Permit Checklist

    • Add or review required verifications before starting work

    • Add, edit, or delete checklist items

    • Rearrange the order as needed

    • Confirm all required checks and authorizations

  5. Metadata & Approvals

    • Finalize details and configure the approval workflow

    • Permit Issuer, Permit Holder, Authorizing Personnel

    • Next Review Date (if applicable)

    • Linked Location and Asset

    • Approval Workflow: Choose Sequential (step-by-step) or Parallel (all-at-once) approvals

    • Digital Sign-off: Approvers can electronically sign and approve


Approving a PTW Document

  1. Select the desired document

  2. Review the document

  3. Select Approve


Editing a PTW Document

  1. Select the desired document

  2. Review the document

  3. Select Initiate Revision

  4. Add a Reason for the Revision

  5. Save the updated document


Reviewing the history of a PTW

  1. Select the desired document

  2. Review the document

  3. Select View History

  4. Review previous versions and version notes
