In UpKeep’s EHS module, users receive email notifications based on their role and their involvement with incidents and CAPAs. This guide explains who receives what and under what conditions.


Incident Notifications

Trigger

Who Gets Notified

Notes

Incident Submitted

Admins, Tagged Admins

Public reporters get a confirmation email only.

Status Change

Reporter (Admin or Technician), Tagged Admins

Only if the user has access to view the incident.

Incident Closed

Creator, Owner

Only if they can view the incident.


CAPA Notifications

Trigger

Who Gets Notified

Notes

CAPA Assigned

Assigned Owner

Email includes a direct link to the CAPA.

CAPA Closed

Creator + Owner

Notified when the CAPA is marked complete.

CAPA Overdue

Admin + Owner

Based on CAPA due date.
