Easily schedule multiple work orders across your team using UpKeep’s Smart AI Scheduler. This tool simplifies the scheduling process by intelligently assigning tasks based on your selected users, timeframes, and filters — all in one click.


What Is the Smart AI Scheduler?

The Smart AI Scheduler is a powerful tool designed to automatically assign work orders to technicians based on your chosen parameters, saving time and improving efficiency.


How to Use It

1. Navigate to the Scheduler

Go to the Scheduler section of your UpKeep account and click the Smart Schedule button.

2. Set Your Time Frame

Use the calendar and time selector to choose:

  • The date range (e.g., June 11–13)

  • The working hours (e.g., 8 AM – 12 PM)

3. Select Technicians

Choose which team members you want to include. You can:

  • Select individual users

  • Use filters to choose based on team, location, or role

4. Choose Work Orders

Pick which work orders to schedule:

  • Select all open work orders

  • Or apply filters like asset type, location, or priority

5. Click Generate

Click Generate and let the Smart Scheduler do the work. It will:

  • Automatically assign work orders

  • Avoid double-booking by recognizing existing schedules


View Options

  • Daily View: Focus on a single day’s schedule

  • 3-Day View: Compare schedules across multiple days

  • 24-Hour View: View your team's full coverage

  • Zoom in to see hourly or quarter-hour breakdowns
