Paid User Roles

Administrators

Admins wield full control over your UpKeep account, with the power to add, change, or remove anything in the system. You can have multiple admins too! πŸ”‘βœ¨

Limited Administrator

Limited admins in UpKeep can't access Company Settings but have a view-only access to People & Teams. They can create and delete their own items and receive the same notifications as admins, including cost and hourly rates in work orders. They're valuable contributors with some restrictions! πŸ› οΈπŸ‘€πŸ”’

Technicians
Technicians are the real superheroes in UpKeep! πŸ¦Έβ€β™‚οΈπŸ”§ They excel at closing work orders, completing jobs, and are often the fearless field technicians. They enjoy full visibility of all team-related objects like work orders and assets. Technicians hold the power to edit work orders, locations, and assets they've created, but they cannot edit or delete items they haven't created. Their skills shine as they work on tasks within work orders, effortlessly updating with photos and status updates. πŸ“ΈπŸ’ͺ So, trust your Technicians to keep things running smoothly with their exceptional capabilities! πŸš€πŸŒŸ

Limited Technicians
Limited technicians have almost the same privileges as regular technicians, but there are some important differences. They can only see work orders, locations, or assets that are assigned to them or a team that they are a part of. So, to let them see specific locations and assets, admins need to assign them. Limited technicians can assign work orders to themselves or their team, but if there's something else they should work on, admins need to assign it to them. It's all about making sure they have access to what they need to get the job done! πŸ’ͺπŸ”§πŸš€

Free User Roles

These user types don't need a license, and you can have as many of them in your account as you need. πŸš€πŸ”‘

View-Only Users (a.k.a View & Request)
View-Only users are like observers in the account. They can see almost everything an admin can, except work requests and purchase orders. They can't change anything, but they can still submit work or purchase order requests if something needs fixing or they want to know a job's status. They can also add comments to their own requests and the related Work Orders. They're great for keeping an eye on things without making direct changes! πŸ•΅οΈβ€β™‚οΈπŸ‘€πŸ”’

Requester Users
Requesters serve as the voice and insight for your facility's needs. They submit requests and receive updates on their submissions but don’t have access to internal details, such as Work Orders or other users' requests. They receive updates through email and push notifications and can monitor the status of their requests when they log into UpKeep

Vendors and Customers in UpKeep

Vendors and Customers are meant for internal organization and tracking only. They cannot log in to the account, nor do they receive any notifications. 🚫πŸ‘₯

These roles serve as handy references to keep things organized behind the scenes. For instance, you can create a Vendor to manage contractors you frequently work with and assign them to specific work orders. This way, you can easily track who is handling each task and stay updated on the current status of every work order.

When vendors or customers are assigned to a work order in UpKeep, they will not receive notifications through the platform. They are treated as third-party users and, as such, are not considered validated users within the UpKeep application. They are not able to take action on Work Orders. This will need to be managed by someone on your team with access to update Work Orders.

FAQs or Best Practices

  • Location Based Permission can be applied to any user type.

  • User roles can be edited or changed at any time. Keep in mind that in order to give someone a licensed user type, there must be one available for use. You can purchase more licenses if needed.
