This doc is here to help answer some of the questions we think most customers will have when it comes to Multi Asset Pm Triggers and how they will work.


FAQ

Q: Can I bulk import / update PM records with multiple assets?

A: No, unfortunately this functionality is not yet available, however it should be expected for future releases.

Q: Who has access for Multi-Asset PM records?

A: All the same role type & account types that currently have access to PM’s.

Q: Will I get a single work order for each asset, or will they all be combined into one work order

A: The only current configuration is to get a single work order per single asset. This will not allow the aggregating of assets into one work order.

Q: What is different about each work order created for individual assets?

A: Work orders generated from a Multi-Asset PM will use key details associated to the asset (Location, Primary Assignee, Additional Assignee, Team, Start & End dates). All other data points, associations, or attachments will come from the PM Trigger details.

Q: Can I add new assets to the PM record in the future?

A: Yes! Any newly created asset record, or one that simply needs to be added down the road will be able to be added to a Multi-Asset PM record which has already been created & triggered.

Q: What happens if I delete an asset that is associated with a Multi-Asset PM record?

A: When deleting assets from your UpKeep account, they will be removed from any associated PM record, just as they do for single asset PM records.

Q: Can I remove all assets associated with a Multi-Asset PM record?

A: No. There are critical data points associated with the asset which must stay in order to create a PM record. If there is a need to remove all assets, it should be considered to delete or archive the PM record.

Q: What's the difference between regularly scheduled and based on completion?

A: The Two time based frequencies in UpKeep:

Regularly Scheduled: Fixed time Frame (Every 6 months)

  • Example: 6 months on the 1st Monday of the Month

Based on Completion: Timeframe after the current Work Order was completed (6 months from the day of completion)

  • Example: I completed the Work Order today. The next Work Order will be due 6 months from today.
