How to Import PM Trigger Templates

Set the Work Order Details for your PM Triggers

The Trigger Template is where you fill in the details for your Work Orders. Once set up, this template applies to all assigned schedules, so every time a Work Order is triggered, it uses the same information. This keeps everything consistent and makes the process smoother and more efficient.

What are PM Trigger Templates?

The Trigger Templates would be the Work Order Details for your triggers. This information would be found in the Details when creating (or editing) in the Application.


How to Import PM Trigger Templates

  1. Navigate to the Import/Export Tab or Select the Option Dots within the PM Triggers section and select Import

  2. Select the PM Triggers Templates Option

  3. Download a Template if creating new Templates

    1. If updating select Export Current PM Templates

  4. Select Start PM Trigger Template Process

  5. Add your Files

  6. Confirm your fields and import

  • Each Trigger Needs a Unique ID Name

  • This is the unique identifier

C- Work Order Name

Monthly PM – HVAC

Title of the work order. If you have multiple work orders with similar names, it may be best to include other identifying information.

NOTE:

  • This field is required

D - Work Order Category

Preventative – Electrical

Acceptable values: All default Category values and custom created categories

  • NOTE: The entry has to also exist in your categories section

E - Work Order Priority

Medium

Only acceptable values:

  • None

  • Low

  • Medium

  • High

F - Create Work Order Now (YES/NO)

YES

  • Do you want to create the first PM now or use the creation cadence?

  • Example PM set to start March 25, 2030

    • If YES Work Order will create now

    • If NO Work Order will create X before it is due (based on your entries in Column K, L)

  • NOTE: Based on Completion Triggers will always create the first Work Order now

G - Requires Signature (YES/NO)

H - Estimate Hours

The number of hours you’d like to block off on the Scheduler for this activity, based on how long you anticipate this will take to complete.

  • NOTE: You can only input whole numbers like 3. You cannot input fractions or decimal numbers like 3.5.

  • NOTE: To upload additional checklists use a comma (,) to separate them
