On your Work Orders, you can assign step-by-step tasks to guide your team's maintenance procedures. To provide clear context or document proof of work, users can attach files, leave detailed notes, or upload images directly to individual tasks.

Any user assigned to or working on a Work Order can view and add these attachments on both the web and mobile apps.

How to Add Images and Notes to a Task on Web

Adding photos, notes, or documents to tasks on the web platform is a simple way to review work before closing out a job.

  1. Navigate to the Work Orders tab in the left-side menu.

  2. Locate and click on the Work Order you need to view.

  3. Scroll down to the Tasks section of the Work Order.

  4. Find the specific task you want to update and click to add a photo, note, or URL.

  5. The note or image will instantly save and display directly beneath that task checklist item.


How to Add Images and Notes to a Task on Mobile

Technicians in the field can capture real-time evidence of completion, upload before/after photos, or report issues by updating tasks directly from their mobile devices.

  1. Open the UpKeep mobile app on your iOS or Android device.

  2. Tap the Work Orders icon at the bottom of the screen and select the Work Order you want to update.

  3. Tap on the Tasks section

  4. Select your action:

    • Tap the Camera Icon to capture a new photo with your device's camera or upload an existing file from your gallery.

    • Tap the Notes to add more context

  5. Tap Save to save your photos and/or notes.
