Multi-Asset Linking in UpKeep Safety allows you to connect multiple assets to a single safety record. This update provides greater data flexibility and ensures your documentation accurately mirrors complex, real-world maintenance operations.
Overview
Safety procedures and compliance records often impact multiple pieces of equipment simultaneously. With Multi-Asset Linking, you can link several assets to CAPAs, LOTOs, Permits, Audits, Events, JHAs, and SOPs, keeping your records consolidated and your field workflows efficient.
Key Capabilities
Broad Module Support — Link multiple assets across core modules, including CAPAs, LOTOs, Permits, Audits, Events, JHAs, and SOPs.
Clean Interface — Detail pages list all connected equipment, while list views show the primary asset plus a "+N more" indicator.
In-Table Asset Column — Surface connected assets right from the table in your CAPA and Events lists via the new Asset column.
Comprehensive Exports — Exported CSV and PDF files automatically include all linked asset names. In PDFs, linked assets print directly below the Location field for better readability.
Robust Compliance — A full audit trail automatically logs every asset link and unlink event.
Step-by-Step Guide
Navigate to the desired safety module (such as CAPAs, LOTOs, or Permits) in UpKeep Safety.
Click to open an existing record or select + Create.
Locate the Linked Assets section in the form.
Select your primary asset, then continue searching and selecting additional assets to link.
Click Save to store the record. The detail page will display all linked assets, while lists will show the first asset and "+N more" if applicable. You can also view associated assets directly in the CAPA and Events lists by adding the Asset column to your table view.
Best Practices
Consolidate LOTO Procedures — When isolating a complex system, link every affected asset to a single Lockout Tagout document.
Leverage Exports — Use PDF exports to provide auditors with complete documentation showing exactly which assets were covered, printed cleanly below the Location field.
Audit regularly — Review the history of linked assets to maintain accurate audit trails and absolute visibility.
Use Cases
Production Line Maintenance — A technician links five separate conveyor line assets to one LOTO procedure to ensure the entire line is safely powered down.
Incident Reporting — An admin documents a safety event and links three machines that were involved, ensuring thorough reporting.
FAQ
How do linked assets appear on list views?
To keep lists scannable, only the first linked asset is displayed, followed by a "+N more" indicator. You can also surface them right from the table using the new Asset column in CAPA and Events lists.
Are all linked assets included in PDF exports?
Yes. Every asset linked to a safety record is fully detailed in both PDF and CSV exports. In PDFs, linked assets print directly below the Location field.
Is there a limit to how many assets I can link?
There is no hard limit; you can link as many assets as necessary to reflect your physical operations.
