How to View and Process Work Orders On Web (New)

Learn how to view and process Work Orders on the new Work Orders interface

This guide will walk you through the steps to mark work orders as completed, ensuring all tasks are properly documented and closed out. You'll also learn how to review and update checklists, input information, and add completion notes. Whether you're confirming work completion or filling out detailed checklists, this guide has you covered!


How to View the Work Order Details on Web

Open the Work Order

  1. Click the Work Orders tab on the left-side navigation menu.

  2. Select your desired work order using one of two viewing options:

    • Full-page view: Click the Work Order Number to open the details in a new browser tab.

    • Side-panel view: Click anywhere else in the row to slide open a quick-view panel on the right.

  3. Scroll through the page to view the details, or click the shortcut tabs in the top navigation bar to jump directly to a specific section.

Work Order Sections

Once the work order is open, you can view and manage the following sections:

  • Details: Core metadata including Location, Asset, Category, Priority, Due Date, and Close Out Notes.

  • Assignment: Assigned technicians, teams, or external vendors via the Provider Portal.

  • Images: Visual files and photos uploaded to the work order.

  • Tasks: Individual checklists and task items required for completion.

  • Time: Tracked labor hours, timesheets, and subsequent labor costs.

  • Parts: Inventory parts consumed during the maintenance task.

  • Costs: Any additional or miscellaneous expenses incurred.

  • Files: External document attachments and references.

  • Links: Relationships to other records (e.g., "blocked by," "duplicate of," or "relates to").

  • Feedback: Post-completion satisfaction reviews and ratings from requesters.

  • Activity: Chronological audit trail, team comments, and status update notes.


How to Process and Complete Your Work Order

  1. Click Start Timer to start tracking time and put the work order in progress.

    1. Note: When you update the status, it will send out notifications to applicable users, such as your admins or the requester.

  2. Complete the tasks

  3. Add labor, parts or any additional costs

  4. Leave any Activity notes to let your team members know what was done on the work order. Use the @mention function to tag team members.

  5. When you are ready with your information and the work order has been completed, update the status to Complete


FAQs about Viewing/Processing Work Orders on Work Orders (New)

What if I need to update details on a Work Order?

If you created the work order, you are able to make edits, but only admins can edit all work orders. Technicians can only edit/delete work orders they created. If technicians need something updated, they will need to reach out to the company admin.

How can you let a co-worker or manager know an update or important note about a work order?

Click the activity tab on the work order menu and @mention the co-worker/manger and let them know the important information. You can only @mention users who are active in UpKeep.

Unable to Complete Work Order?

Make sure you have filled out every detail required for completion. Sometimes this can be missing time or a task left incomplete.
