How Providers Complete Work Orders in the UpKeep Provider Portal

When a provider (vendor) is assigned to a Work Order in UpKeep, they receive an email notification with a View Job button that links directly to the Work Order in the UpKeep Provider Portal. From there, providers can review the Work Order details, complete tasks, upload files, and update the status as work progresses.


Open a Work Order

When a provider is assigned to a Work Order, they receive an email notification with a View Job button that links directly to the Work Order in the Provider Portal.

Providers can also view their assigned Work Orders from their Profile in the Provider Portal.

From the Work Order page, providers can view information such as:

  • Work Order title

  • Description

  • Status

  • Due date

  • Assignee

Opening the Work Order allows providers to review details, complete tasks, upload files, and update the Work Order status.


Review Work Order Details

The Work Order page contains important information about the job. Providers can review details such as:

  • Due Date

  • Priority

  • Status

  • Category

  • Primary Assignee

  • Created By

  • Last Updated

Reviewing these details helps providers understand the scope of the work before completing tasks.


Complete Tasks

Work Orders may include tasks or checklist items that must be completed.

  1. Navigate to the Tasks tab

  2. Review the checklist items listed in the Work Order

  3. Enter any required information or confirmations

  4. Mark tasks as completed as work is finished

The checklist progress bar will update as tasks are completed.


Update the Work Order Status

Providers can update the Work Order status as work progresses.

  1. Locate the Status field at the top of the Work Order

  2. Select the appropriate status from the dropdown


Add Files

Providers can upload files such as photos, reports, or documentation related to the Work Order.

  1. Open the Files tab within the Work Order

  2. Select Upload File

  3. Choose the file from your device

Uploaded files will be visible to both the provider and the customer.


View Activity

The Activity tab shows a timeline of updates made to the Work Order. This includes actions such as:

  • Status updates

  • Task completions

  • File uploads

  • Other changes made to the Work Order

Providers can use this section to review the history of the Work Order and track progress.
