The new Request Portal makes it easier than ever for your team and requesters to submit maintenance needs quickly, accurately, and without confusion. With this update, you can create and manage multiple portals, each tailored to your organization’s unique needs. Requesters can access these portals directly from a link or by scanning a QR code, making the intake process simple and seamless.

The redesigned portal experience provides:

  • Flexibility to create portals tied to a location, an asset, or for general-purpose workflows

  • Ease of access with UpKeep-branded QR codes that can be placed anywhere in your facilities

  • Smarter forms that use custom fields and prefilled data to reduce guesswork and errors


How to Create a Request Portal

  1. Navigate to Settings > Requests > Public Request Portals

  2. Click Create Request Portal

  3. Choose the type of portal:

    • General Portal: Allow requests for all locations and assets

    • Location Portal: Limit requests to one location

    • Asset Portal: Limit requests to one asset

  4. Adjust the Request Options:

    • Enable Attachments to let requesters upload photos or files

    • Enable Location if you want users to specify an exact location

  5. (Optional) Add Custom Fields to collect additional details (text, numbers, or multiple-choice options)

  6. Click Create Request Portal to save


Sharing Your Portal

Each portal comes with a unique URL and QR code for easy sharing

  • To access, go to Settings > Requests > Public Request Portals

  • Find your portal and use the options menu (⋮) to:

    • Copy Portal URL to share via email or internal systems

    • Open Portal to preview the form

    • Print QR Code to place in your facilities

Anyone can scan the QR code or click the link to submit a request — no app login required


Managing Multiple Portals

You can create and manage as many request portals as needed. This allows you to:

  • Have dedicated portals for different departments or buildings

  • Route requests more efficiently by tying them to specific assets or locations

  • Improve request accuracy and speed with context-aware forms
