Work Order Templates help your team standardize recurring maintenance jobs—like inspections, cleanings, and compliance tasks—so you don’t have to rebuild the same work order every time.


✅ What Are Work Order Templates?

Templates are reusable work order blueprints that include:

  • Title & description

  • Assigned user(s)

  • Asset(s)

  • Tasks

  • Parts

Once created, templates can be used to generate new work orders quickly, helping reduce errors and improve consistency across your team.


How to Create a Template

Option 1: Create From Scratch (Web only)

  1. Go to the Work Orders section on the Web.

  2. Click the Templates tab.

  3. Select + Create Template.

  4. Fill in all desired information:

    • Title

    • Description

    • Asset(s)

    • Assignee

    • Tasks

    • Parts (optional)

  5. Click Save Template.

You can view, edit, or delete templates from this section at any time.

Option 2: Convert a Work Order to a Template

  1. Open any existing work order on the Web (any status is allowed).

  2. Click the More Options (⋮) menu in the top-right.

  3. Select Convert to Template.

  4. The entire work order will be saved as a new template


How to Use a Template to Create a Work Order

Once templates are set up, you can use them to quickly generate new work orders on both Web and Mobile.

On Web

  1. Click + Create Work Order

  2. Select Templates

  3. Choose a template from the list

  4. All preset fields will auto-fill

  5. Click Create to submit the work order

On Mobile (iOS & Android)

⚠️ On mobile, you can only use existing templates — you cannot create or edit them.

  1. Tap + Work Order from the bottom navigation bar

  2. Tap Templates

  3. Choose a template from your list

  4. Tap Create Work Order to finish
