UpKeep's Checklist Smart Imports feature lets you seamlessly convert your existing PDF manuals into actionable checklists. 📄 Simply upload your PDF, and UpKeep will extract the relevant data to help you build your checklist right in the platform. This article will guide you through every step of using the smart import function, making it easy to digitize and streamline your maintenance procedures!


How to use Checklist Smart Imports

  1. Go to "Checklists" on the web (this is a web-only feature for now) and click "Add checklist."

  2. Hit the arrow under "PDF Smart Import" to expand the area.


  3. At this time, we’re in beta, so only PDF files are supported. Your PDF file can include anything from screenshots to images, diagrams, and more.

  4. Upload or drop in your operating manual of choice.


  5. Click "Process PDF." While the tool reads your file and generates a checklist, you can open other UpKeep tabs to work on other items, so you don’t have to sit and wait.


  6. When the file is complete, the loading text will stop. Review the automatically created details and make changes as needed. If the tool can’t identify the correct task type, it will default to "Sub-task Status.".


  7. When you're done, just hit "Create Checklist" on the top right corner!
