How to Pause, Resume or End a Preventive Maintenance (PM) Trigger Schedule

UpKeep’s Preventive Maintenance module lets you automatically generate recurring Work Orders based on your chosen schedule—daily, weekly, monthly, annually, and more.

You also have the flexibility to pause or resume any PM trigger at any time. This is especially helpful for seasonal equipment, extended downtime, or any scenario where you need to temporarily stop generating new Work Orders—without deleting the PM altogether. 🔄🔧⏸️


How to Pause Preventive Maintenance Schedule

💡Paused PM triggers will remain visible in the Preventive Maintenance list view. All future open work orders will be deleted at time of pausing ⚠️

💡When you pause your PM, it takes into account the remaining time baseline at the moment of resumption. For example, if you pause a 100-day inspection after 50 days, when you resume it, there will be a remaining 50 days until it's due.

  1. Navigate to the Preventive Maintenance section in the left hand menu

  2. Click into the trigger you need to Pause

  3. Select the Option Dots

  4. Select Pause


How to Resume Preventive Maintenance Schedule

  1. Navigate to the Preventive Maintenance section in the left hand menu

  2. Click into the trigger you want to resume

  3. Select the Option Dots

  4. Select Resume


How to End Preventive Maintenance Schedule

  1. Navigate to the Preventive Maintenance section in the left hand menu

  2. Click into the PM record you need to edit

  3. Click on the 3 Dot Menu to edit the schedule

  4. Select the Record Data Tab

  5. Select the End Date

This will prevent Work Orders from generating after that date.


How to Archive a Preventive Maintenance Record

🚫⚠️ Archived PM triggers cannot be unarchived, if you will need this PM to be used again, please Pause the PM trigger instead. 🚫⚠️

  1. Navigate to the Preventive Maintenance section in the left hand menu

  2. Click into the trigger you want to Archive

  3. Select the Option Dots

  4. Select Archive

You can also archive multiple triggers at the same time by using the multi-select function.

You can also check the box of any PM from the PM List View, then an option at the top will show Archive.
