Approve High Priority Requests

Manufacturers need their equipment and machinery to be operating at 100 percent efficiency at all times. For this to be accomplished, all high priority requests need to be taken care of as soon as possible. This flow ensures important requests don’t get stuck in pending and are automatically approved and escalated immediately. This flow saves time and expedites the most imperative requests.

IF Request is created > AND Request Priority is High > THEN Approve Request

Create work order when form item is updated

Customized tasks can be added to any UpKeep work order. A common form item or items that are added to work orders are subtasks which allow the technician to do an inspection and mark the asset or item being inspected as Pass, Flag, Fail. With this workflow, technicians can ensure any flagged item during an inspection has a work order created immediately. By having a work order created automatically when an item has been flagged, technicians ensure nothing falls through the cracks and all items receive necessary maintenance as soon as possible.

IF Task is updated > AND Value equal to Flag > THEN Create Work Order

Assign team to categorized work order

UpKeep administrators can create Teams within their UpKeep account. With the use of teams, administrators can group their technicians by skill sets and ensure all appropriate technicians receive an immediate notification when a work order has been assigned a category applicable to their team.

IF Work Order is created > AND Work Order Category is Electrical > THEN Assign Team to Work Order

Send email reminder when category is assigned to a work order

Finance teams may not always be invited to a company’s UpKeep account and therefore can feel out of the loop. With this workflow, the finance team can receive updates when work orders are closed in real-time and run reporting to reconcile time and cost for each asset.

IF Work Order is created > AND Work Order Category is damage > THEN Send Work Order Reminder Email to Procurement team

Send reminder email if work order is not assigned a user and/or a team

Data integrity is important as it empowers UpKeep admins to utilize reporting and have full insight into the issues that are occurring. This workflow ensures that all high priority work orders are categorized correctly and eliminates the possibility of error in categorization. When this flow is paired with the flow number 3 list above, administrators can ensure no work order will go unattended.

IF Work Order is created > AND Work Order is Assigned to User..Value Not Set AND Work Order is Assigned to Team..Value Not Set > THEN Send Work Order Reminder Email
