Gain valuable insights into the costs and time your team spends on work orders with our comprehensive range of reports. These reports include:

  • Status Report: Track the current status of work orders.

  • Maintenance Compliance: Monitor adherence to maintenance schedules and standards.

  • Work Order Aging: Review the age and progress of outstanding work orders.

  • Time & Cost: Evaluate the time and costs associated with maintenance activities.

For deeper insights, hover over the charts to see detailed data and click on specific data points to drill down further. You can explore data by priority, asset name, or location to tailor your analysis and uncover more granular information.

How to Use UpKeep Analytics โ€“ Work Orders

When analyzing reports under Work Orders, you have the option to select date ranges based on either Due Date or Date Completed. This feature lets you customize your report to focus on:

  • Due Date: Analyze work orders based on their scheduled due dates.

  • Date Completed: Review work orders according to when they were actually completed.

By choosing the appropriate date range, you can gain targeted insights into the work order process and performance.

  1. Start by applying the filters in any of the reports to show you what you are looking for

  2. Once your filters are applied, click on the Reload button

  3. Now that the report is refreshed, you can view the data tiles.

๐Ÿ’กEach tile/table/chart may have a clickable object or number, click into it to drill down deeper into the report! For example, you can drill by priority, asset name, or location name


How to Export your Report

To download data from any available tile:

  1. Hover your mouse cursor over the tile you wish to download.

  2. Click the three vertical dots (menu icon), then select Download Data.

  3. Choose your preferred file format for the download: TXT, Excel Spreadsheet, CSV, JSON, HTML, Markdown, or PNG.

  4. Click Download to save the file to your computer.

This process allows you to export data in various formats for your convenience.

๐Ÿ’กClick on the 3 vertical dots on the far top right of the dashboard to export the data in a ZIP file for all of the tiles! The available options are CSV or PDF.


Status Report

The Status Report provides a high-level, rapid overview of your team's current work orders, including those that are due or in progress. Supervisors and planners can use this report to:

  • Ensure Timely Completion: Verify that ongoing work is progressing as scheduled. ๐Ÿ•’

  • Highlight Incomplete Tasks: Identify any tasks that require further attention. ๐Ÿšง

๐Ÿ’กCompliant WOs are work orders completed before their assigned due date. Cycle time refers to the number of days until a work order was completed.

โš ๏ธThis dashboard uses the DUE DATE filter. This means if your work orders do not have due dates, they do not show up on this dashboard in the results.


Work Order Analysis

The Work Order Analysis report allows you to review completed tasks comprehensively. Use this report to:

  • Audit Total Work Orders: Examine the overall number and details of completed work orders.

  • Evaluate Personnel: Assess the performance and involvement of team members.

  • Review Costs: Analyze the costs associated with work orders. ๐Ÿ’ฐ

  • Check Completion Times: Monitor the time taken to complete tasks. โฑ

This analysis is essential for understanding work order efficiency and managing resources effectively.

Maintenance Compliance

The Maintenance Compliance report provides valuable insights into how well your preventive maintenance activities adhere to their schedules:

  • Compliant Work Orders: Tasks completed on or before their assigned due date.

  • Non-Compliant Work Orders: Tasks completed after their assigned due date.

This report helps you:

  • Analyze Compliance Rates: Understand the percentage of maintenance activities completed on time. ๐Ÿ“…

  • Identify Patterns: Use filters to uncover when and where non-compliant work orders occur or which equipment is affected. ๐Ÿ”๐Ÿšง

The Work Order Aging report lets you review incomplete work orders within the selected date range. It provides valuable insights into:

๐Ÿ’ก Work order age is defined as the number of days between the creation of the work order (or work request) and today.
