Permit to Work (PTW) in UpKeep Safety

How to create, approve, and manage Permits to Work (PTW) with multi-permit support and team @mentions in UpKeep Safety.

The Permit to Work (PTW) module in UpKeep Safety is used to digitally manage the authorization of hazardous or high-risk work. It ensures that all safety checks, approvals, and control measures are in place before work begins. Using the PTW module helps protect workers from hazards, maintain control over potentially dangerous tasks, and support compliance with safety regulations.

Overview

High-risk work authorization shouldn't rely on paper trails and manual routing. UpKeep Safety provides digital permit generation, multi-permit grouping for complex job sites, and real-time team collaboration with @mentions.

Key Capabilities

  • Multi-Permit Support — Manage multiple permits simultaneously across complex job sites without friction or redundant entry.

  • Configurable Approval Workflows — Choose sequential or parallel digital sign-offs for permit issuers, holders, and authorizing personnel.

  • Team @Mentions — Type @Name in permit notes or review comments to notify team members instantly and streamline sign-off workflows.

  • Hazard & Control Identification — Document pre-work hazards, assign risk severity/likelihood before and after controls, and define required PPE.

  • Revision & History Tracking — Audit full version history and document revisions with clear timestamps and change reasons.

FAQ

How does multi-permit support benefit complex job sites?
Multi-permit support allows teams to link and manage multiple high-risk work permits (e.g., Hot Work + Confined Space) for a single project without creating redundant records.

Can I notify external contractors or safety officers on a PTW?
Yes. You can use @mentions in the permit notes and comments to trigger immediate notifications to internal team members and tagged EHS officers.
