Before you export your data into reports in PDF or CSV files, you'll want to filter your work orders. This way, you're building a report on just the data that you need. With UpKeep, there are a lot of filters you can utilize to find exactly the ones you need. This article explains how to filter your work orders and export to PDF or CSV.

Export to CSV File

A CSV stands for comma-separated values, which is a spreadsheet file you can open in Microsoft Excel or Google Sheets.

  1. Start by filtering your work orders to show you just the ones you need

  2. Click on the 3 vertical dots

  3. Then click on Export to CSV

  4. Choose All Columns for all information on the work orders to be exported

  5. Or select Custom and check off the individual columns that you want to be exported

  6. Now click Export

  7. This may take some time depending on the size of the file

  8. Finally, click Download File once it is ready. The CSV will be downloaded to your computer for you to open.

Export to PDF

This function allows you to export your work orders onto a PDF file that you can save or print.

  1. First, filter out the work orders that you need to export

  2. The PDF file will include all the headers you’ve selected in the table view. If you need a different column included, be sure to customize your table first!

  3. Next, click on the 3 vertical dots next to + Work Order

  4. Finally, click on Export to PDF. The PDF file will be downloaded onto your computer for you to open and print as needed!

Be sure to customize your table view first so you have the columns you need. 10 is the recommended number of columns for PDF export!
